Privacy Policy

EvenBook is a software product owned and operated by Beardsley Holdings LLC. Beardsley Holdings LLC owns and operates even-book.com and is responsible for the information practices described in this policy.

This policy explains how we collect and use information when you visit even-book.com, explore our public product demos, submit a demo or analysis request, or use the EvenBook owner portal at owners.even-book.com.

Information you provide

When you request a demo, walkthrough, or property analysis, we may collect your name, work email, company or property name, approximate unit count, property-management system, current rotation method, and any message you choose to send.

Website and analytics information

We use Google Analytics to understand how visitors use the public website. It may collect information such as pages viewed, site interactions, approximate location, browser and device information, and a first-party identifier stored in a cookie. We do not intentionally send the contents of your request form to Google Analytics.

How we use information

• Respond to your request and arrange a walkthrough or analysis.
• Understand prospective customers and improve our website and product.
• Protect the website, prevent abuse, and troubleshoot problems.
• Maintain business records and comply with applicable obligations.

How information is shared

We share information only as needed to operate the website and respond to requests. Our current service providers include Cloudflare for website hosting and lead-database infrastructure, Resend for email delivery, and Google Analytics for website measurement. These providers process information under their own terms and privacy commitments. We may also disclose information when required by law or to protect our rights and users.

We do not sell personal information, and we do not use the contents of demo-request forms for third-party advertising.

Retention and security

We keep request information for as long as reasonably necessary to respond, manage a prospective or active business relationship, maintain appropriate records, and meet applicable obligations. We use reasonable administrative and technical safeguards, but no internet transmission or storage system can be guaranteed completely secure.

Your choices

You can block or delete analytics cookies through your browser settings. Google also provides an Analytics opt-out browser add-on. You may contact us to ask about, correct, or request deletion of information you submitted, subject to applicable legal and recordkeeping requirements.

Children

EvenBook is a business service and is not directed to children under 18. We do not knowingly collect personal information from children through this website.

The owner portal

The owner portal is provided to property owners, association members and staff on behalf of a property-management company or owners' association that has a service agreement with EvenBook (the "customer"). The customer supplies the information shown in the portal: owner names and contact details, residences and ownership, association dues and balances, documents, reservations and rental revenue. The customer is responsible for that information, and the service agreement between EvenBook and the customer also governs how we process it.

When you use the portal we also record sign-in events, the device and browser used, and the actions staff users take, so the customer can see who changed what.

Signing in with Google or Microsoft

If you choose "Sign in with Google" or "Sign in with Microsoft", we receive your name, email address and profile picture from that provider. We use them only to confirm that the email address matches an owner or staff member on the customer's list, to create and keep your signed-in session, and to show your name in the portal. We do not receive your password, contacts, calendar, files or any other data from your Google or Microsoft account, and we do not use the information for advertising or share it with anyone other than the service providers below.

EvenBook's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

If you sign in with an emailed link instead, we send a one-time link to the address on the customer's list and record when it was used.

Service providers for the portal

The portal runs on Cloudflare (hosting, database and file storage), sends email through Resend, and reads reservation and revenue data from the customer's property-management system (for example Cloudbeds) under the customer's authorisation. Where online dues payment is offered, a payment provider processes card details under its own terms; EvenBook does not store full card numbers.

Your rights in the portal

You can see most of the information we hold about you in the portal. To correct or delete information, or to close your access, contact the customer or email us. Because the customer owns the underlying records, we may need the customer's confirmation before changing them. We keep portal data for as long as the customer's agreement with us requires and for a reasonable period afterwards to meet record-keeping obligations.

Changes to this policy

We may update this policy as our services or data practices change. We will post the updated version here and revise the effective date above.
