Prepare the meeting.

Set the date, local time, location, agenda, and quorum requirement. Build yes/no motions, multiple-choice questions, and elections with seat limits. Add facts, recommendations, candidate details, and supporting documents.

Save drafts and preview the owner experience before opening voting. Publishing locks the meeting details and ballot questions so everyone votes on the same proposal.

Let owners vote online.

Owners sign in, review the questions and attachments, and submit their ballot. A receipt confirms the submission.

The current workflow gives each eligible residence one equal-weight ballot. The first owner submission or proxy assignment reserves that residence, preventing co-owners from submitting competing ballots. Final submissions cannot be edited or withdrawn.

Keep proxy voting accountable.

An owner can authorize a proxy by name and email. The proxy holder signs in with that email to review the assigned meeting and cast the ballot personally.

The proxy assignment reserves the residence’s ballot. A proxy-only account can access the assigned meeting and its shared attachments without gaining access to the owner’s finances or general document library.

See participation clearly.

Management can see represented residences, quorum progress, provisional totals, and proxy ballots still awaiting submission.

A proxy assignment counts toward representation; voting choices are counted when the proxy casts the ballot. The quorum threshold is set for each meeting.

Close the vote. Share the result.

Management finalizes voting to close submissions and reveal aggregate results to owners and proxies. The outcome clearly shows whether quorum was met and preserves a record of participation and submissions.

Results do not automatically declare a motion passed or resolve election ties. The association applies its governing rules to the recorded results.

During setup, we review your association’s eligibility, weighting, proxy, quorum, and finality requirements against the supported workflow.
